OFFICE ASSISTANT / ASSISTANT ADMINISTRATOR (TWO‑PHASE POSITION)
Rural Municipality of Invergordon No. 430
The Rural Municipality of Invergordon No. 430 is accepting applications for a two‑phase, full‑time administrative position intended to transition from Office Assistant to Assistant Administrator.
Hours of Work: 35 hours per week, Monday to Friday, 9:00 a.m. – 4:00 p.m. (30‑minute paid lunch break)
Reporting To: Administrator
Position Overview
This is one evolving position. The successful candidate will be hired initially as an Office Assistant (Phase 1) and will transition to Assistant Administrator (Phase 2) following successful training and evaluation. Once transitioned, all office assistant and reception duties remain the responsibility of the Assistant Administrator.
Phase 1 — Office Assistant
Under the direction of the Administrator, the Office Assistant provides front‑line administrative and public service support.
Primary Duties:
- Serve as the first point of contact for ratepayers and the public (counter, phone, email)
- General reception, correspondence, filing, and records maintenance
- Accounts receivable/payable support and receipting
- Update property ownership records and related data
- Office supply and equipment management
- Coordinate basic IT service issues with the RM’s service provider
A probationary period will apply during this phase.
Phase 2 — Assistant Administrator
Subject to satisfactory performance, the position will progress to Assistant Administrator. All Phase 1 duties continue.
Additional Responsibilities:
- Support municipal administration including:
- Assessment and taxation
- Tax enforcement
- Financial operations and payroll
- Zoning, subdivision, building, and development applications
- Municipal elections
- Implementation of policies
- Assume duties of the Administrator during absences when delegated
- Address all ratepayers and the public with respect and professionalism
- Maintain a neat and professional appearance
As per section 110 of The Municipalities Act, duties may be delegated by the Administrator as required.
Qualifications
- Grade 12 diploma (minimum)
- Minimum one (1) year general office experience with public interaction
- Municipal or accounting experience considered an asset
- Proficiency in Microsoft Word, Excel, and Outlook
- Strong organization, accuracy, and confidentiality
